You may give us information about you by filling in forms on our website or by corresponding with us by phone, email or social media. The information you give us may include your name, address, email address and phone number. We may know your age if you’ve chosen to disclose it directly or indirectly but we will not store this data. If you sign up to our email your details will be stored on our MailChimp, our newsletter provider. Your details are password protected.
If you phone us, send us an e-mail message or complete an on-line form, we will use your e-mail/postal address and any information you provide to deal with and respond to your query or comments. This information may be disclosed to the appropriate officer to deal with or respond to your message.
If we collect information that you give to us in consultations, surveys, competitions or questionnaires. Whenever we do this we will inform you of what your information will be used for and to whom it will be disclosed. We may share non-personal statistical, or summary information with organisations working in partnership with us such as gap year organisations, the press, universities, schools and travel service organisations (e.g. insurance companies).
If you volunteer, intern or work with us in any capacity in Mozambique, we will collect more data from you via email than just what we collect on the website. This is done so to ensure you have a safe and enjoyable expedition with us, and our expedition preparations meet your needs and requirements. It includes, but is not limited to, contact information, passport details, and medical history. The information is available to Love The Oceans staff members, our in-country partner organisations and our expedition Financial Failure insurers Towergate Underwriting Group Limited. Where relevant your medical information may also be reviewed by external medical experts solely for the purpose of ascertaining your suitability to participate in various parts of the expedition, such as scuba-diving.
A hard copy of your details will be made and stored on site for the duration of your visit with your permission. This is part of our health and safety protocol to ensure your safety in the case of an incident (your insurance details, nationality, medical history etc. need to be easily available to ensure rapid response and emergency treatment). At the end of your time with us in country, the hard copy of your details will be destroyed and any electronic copies held by anyone will be destroyed with the exception of your application form, CV, picture and any medical report forms as well as your performance review which will be held on one computer, password protected. These are held to ensure we have a medical record of your time in Mozambique in case something happens or develops once you have arrived home. It also enables us to write you a job reference if so required after your time with us as we can refer back to your records to refresh our memory.
In summary, depending on how you engage with us, we may use your information:

– to facilitate your use of this website and the services available through it;
– for internal accounting and regulatory purposes;
– for statistical analysis to assess our business performance and to improve our products and services;
– to keep you informed about our products and services you might be interested in;

Please note: we will only place you onto our emailing list for receiving our newsletter or other services if you have opted in. We may therefore send you an occasional email to ask if you wish to opt in to such information.
